OFFICE MANAGER RESPONSIBILITIES

  • Address daily customer communications with existing and prospective customers 
    •  Create estimates, enter orders, and communicate internally and externally with each project. Work with the production team to maintain a viable work schedule, including installations. 
    •  Understand a prospective client’s needs and expectations, and build estimate(s) and/or options for review. 
  • Learning and using our CoreBridge system - estimating (proper material, sizing, etc.), order entry, monitoring lead times and order flow, updating material costing as needed, invoicing, etc. 
  • Execute follow-up calls to existing customers to ensure their satisfaction with experiences, and to promote further work opportunities. 
  • Become adept at aligning the proper products and materials to each customer application. Weigh various options in considering the costs vs. benefits for both the customer and the production process. 
  • Working with our key material vendors. 
    • Assist in purchasing the required materials and follow up when required. 
    • Work with the production department to monitor inventory levels. 
  • Assist with marketing efforts to support business objectives - email marketing, social media posts, and updates to our website.
    •  Facilitate developing and implementing marketing initiatives aimed at targeted customers/prospects - email, mail, social media, etc. 
  • Periodically follow up with customers on the accounts receivables to ensure prompt payment of invoices. Either through sending out statements, or if needed, over the phone. 
Desired Knowledge, Skills, and Abilities

  • 2 year associates degree minimum
  • 2 – 3 years of customer interfacing experience within a faced-paced, small business environment. If you have worked within the graphics area, that is a plus.
  • Highly motivated with a great attitude, and desire to help others, whether a client or fellow team member.
  • Multi-task skills to handle a variety of projects, tasks, and follow-ups daily. Ability to thrive in an environment that has a high level of engagement.
  • Appetite for a technical understanding in how things go together and work as they relate to our products and applications
  • Knowledge and experience with the use of social media to promote business development
  • Time management and organizational skills with the ability to multi-task.
  • Proactive and self-motivated to work both independently and in a team environment.
  • Excellent verbal and interpersonal communication skills.
  • Keen eye for visual design and creativity.
 Additional Experience Desired
 
  • Marketing experience
  • 2-year associates degree or HS diploma with an excellent work history
  • Knowledge with Adobe Creative Suite software, and Microsoft Office Suite products, etc.
  • Experience with a production management software 

 


 

Compensation: $41,600.00 per year
